Medical Service Provider Singular Action
Individual Product Action Notifications by Medical Service Providers
INDIVIDUAL PRODUCT MOVEMENT NOTIFICATIONS PROVIDED BY MEDICAL SERVICE PROVIDERS
Healthcare providers can procure services in imaging, laboratory, dialysis, etc., through methods such as consumable/kit exchanges and results exchanges.
To ensure that individual tracking transactions performed in the Product Tracking System (ÜTS) are managed within a proper traceability chain, companies providing services to healthcare providers in this field must be registered on the ÜTS as a Medical Service Provider.
First, a contract must be registered between the healthcare provider and the medical service provider on the ÜTS. Subsequently, based on this contract, the medical service provider must exit the system with a "Consumption Notification" for consumables used during service provision. For fixed-item medical devices used in service provision, the "Service Provision Notification" will be matched with the hospital, identifying which fixed-item device is used at which healthcare facility.
Individual inventories of medical devices used in transactions conducted by medical service providers will not be transferred to the healthcare provider under any circumstances. Process management will be based on the information on which device is used and where within which service.
In this context, the procedures required of companies and healthcare facilities providing services to healthcare providers are as follows:
1) The company providing the service must first add a Service Delivery Contract to the Product Tracking System (ÜTS).
(Figure 1)
2) After clicking the Add Contract button, the relevant fields must be filled in in the window that opens. (Figure 2)
3) After entering the relevant information on the contract screen, select "Next" and the Add Individual Product screen appears.
4) When you select the Add Individual Product option, you must select the individual product information for the fixed asset device to be provided under the service contract. Selecting an individual product will reserve this product for the healthcare facility providing the service.
5) Once the individual product selection is complete, the contract creation steps will be completed in the system.
Note 1: The contract name must be a phrase that clearly identifies the type of service for both parties.
Note 2: There may be one or more areas provided by the same contract. A separate record can be created for each service type, or the process can be managed through a single record.
Note 3: If the service area information is not defined in the relevant section, you can submit a request through the ÜTS Request Submission section and indicate the missing fields. After the necessary review, the service will be added if deemed appropriate.
Note 4: After the contract expiration date, the medical service provider cannot submit a consumption notification for services provided at the hospital.
Note 5: For fixed assets for which a service notification was made by selecting the hospital information, the service notification will be automatically canceled after the contract expiration date.
6) After the contract is added by the medical service provider, the healthcare service provider must approve the added contract. Approval must be completed by entering the details of the application in the "Awaiting Approval" status (Figure 5).
Note 1: Any healthcare provider user, including a signatory, hospital manager, or authorized user, can approve this agreement.
7) When completing the contract, you can also enter the fixed asset device information to be used in the healthcare facility under the contract (Figure 3). If the fixed asset device has not been added on this screen, you can add the device later by entering the contract details and using the screen in Figure 6.
8) After the healthcare facility approves the contract, the service provider must exit with a consumption notification for the consumables used. (Figure 8)
9) If the fixed asset device used in the service provision is removed from the healthcare facility for any reason, the device can be retrieved from the service provision by selecting the "Notify Service Delivery Termination" option in the contract details or by canceling the Service Delivery Notification from the List/Cancel/Return menu. (Figures 9-10)
10) If the contract needs to be terminated before the specified date or if the contract needs to be updated, the "Terminate Contract" and "Update Contract" options in the contract details should be used. A screenshot of these options is shown in Figure 5.
11) On the contract update screen, the service areas, contract name, and contract end date can be updated.
